Our office in Port Robinson, ON, is looking for a SMRx Drafting Clerk to join our team.
Summary of the Role
Reporting to the SMRx Drafting Manager, the SMRx Drafting Clerk will be responsible for providing administrative services including reception duties, records, and project controls in addition to other administrative responsibilities, as required.
Key Responsibilities
- Administer office operating practices such as record keeping systems, forms control and office layout.
- Record keeping and filing of change orders where required.
- Use various software applications such as spreadsheets, and databases to assemble, manipulate and/or format data and/or reports.
- Maintain and update area manuals and procedures, as required.
- May be required to attend front desk security including logbooks, visitor badges, and visitor orientation forms (if or when the need arises).
- Maintain office equipment and supplies, including stationery, telephones, photocopiers, and fax machines.
- Prepare letters and various correspondence, as necessary.
- Ensure responsibilities and accountabilities are conducted in a safe manner in accordance with E.S. Fox Limited safety policy/procedures, ISO 18001 standards, and OHSA requirements.
- Ensure that environmental aspects within his/her scope of responsibility are adhered to, in order to maintain an efficient operating site office.
- Management of the DPSC Number Matrix, including the following sub-tasks:
- Aconex Document Placeholder Req’s.
- Aconex Metadata uploads for ALL DPSC Number Matrix drawings.
- Pairing of all ESFL DWG NO.’s to SMR-X and AECON DWG NO.’s in the DPSC Number Matrix Excel document environment.
- Aconex Drawing uploads.
- Management of ALL Drafting Team drawing dispositions in Aconex, including the following sub-tasks:
- Aconex search by ESFL DWG NO.’s for Workflow status updates.
- Reporting ALL Workflow status,’ especially Rejections or Approved with Comments, to Drafting Manager so that dispositions can be provided to Aecon and/or GEH in a timely manner.
- Data entry per Drafting Manager’s guidance on ALL disposition responses, completed in Word.Aconex Disposition uploads.
- Any other duties related to the Clerk position assigned by Engineering Management.
Key Requirements, Experience and Skills
- Completion of a College Diploma in Business Administration or a related field.
- Demonstrated working ability in MS Word, Excel, Visio, PowerPoint, and Outlook.
- 3-5 years of experience working within an administrative role is required.
- Experience working within an administrative role in a construction site-type environment is considered an asset.
- Prior Reception experience is considered an asset.
- Exceptional interpersonal skills.
- Tact and persuasion abilities with positive oral and written communication skills.
- Strong communication skills (both written and verbal) are required.
