Our office in Niagara Falls, ON, is looking for a Document Control Clerk to join our team. 

Summary of the Role

The Document Control Clerk is responsible for coordinating corporate administrative and document control services such as record maintenance and control, central fax and other administrative responsibilities related to the flow, documentation and control of corporate records, plans, and information.

Key Responsibilities

  • Responsible for the document control of drawings, specifications, procedures, policies, processes (files, drawings, specifications, catalogues, copiers, fax machines, and printers).
  • Assist in the preparation and maintenance of job files in the Document Control Area, as per the E.S. Fox Limited filing procedures.
  • Receive all job files, drawings, specifications, addendums, and/or all correspondence and information related to a specific job.
  • Enter drawings and specifications into the computer immediately upon receipt, in addition to drawing lists for all current jobs, and distribute the lists along with the required number of copies of drawings, as requested.
  • Check incoming drawing transmittals against the drawings received and notify the sender immediately for corrective action, if there are any discrepancies.
  • Ensure that drawings/specifications are accompanied by a transmittal, listing the contents within while also ensuring that the recipient(s) sign off on the received data.
  • Assist individuals from other departments in locating drawings, specifications, job files, etc.
  • Responsible for photocopying/having copies made for various drawings and specifications as required for each project, and distribute using a transmittal listing drawings/specs, etc.
  • Work in conjunction with the Quality Assurance Manager and Quality Assurance Lead to ensure policies and procedures are followed.
  • Assist in the development and revision of policies and procedures where necessary.
  • Operate office equipment and machinery such as computing equipment, fax equipment, and photocopy equipment.
  • Maintain and control the document master book and update all other books when revisions are received.
  • Ensure job numbers are on all correspondence, transmittals, and filed accordingly.
  • Maintain and update catalogue indices as required.
  • Compile data/maintenance information required for various projects in conjunction with the Quality Assurance department.
  • Ensure responsibilities and accountabilities are carried out in a safe manner in accordance with E.S. Fox Limited safety policy/procedures, ISO 18001 standards, and OHSA requirements.
  • Ensure that environmental aspects within the sphere of responsibility are adhered to, pursuant to ISO 14001 requirements.
  • Perform other reasonable duties or responsibilities as required, to maintain an effective document management system.

Key Requirements, Experience and Skills

  • Community College Diploma from Secretarial or Administrative Discipline
  • 3 years administrative responsibility in a construction, manufacturing or industrial environment, preferred.
  • Excellent communication skills (both written and verbal) are required.
  • Working ability in MS Word, Excel and Outlook
