Our office in Niagara Falls, ON, is looking for a Administrative and Estimating Coordinator to join our team. 

Summary of the Role

Reporting to the Area Manager, the Administrative and Estimating Coordinator is responsible for assisting Project Managers, Estimators, Construction Manager, Division Manager, and the Area Manager with all aspects of construction from sales, estimating and tendering to managing the day-to-day activities of all aspects of construction. The position is responsible for initiating and coordinating the clerical, secretarial, and administrative functions for the Structural Steel and Bridge Division.

Key Responsibilities

Administrative

  • Coordinates the collection and preparation of project-related records and reports. 
  • Arranges, participates in, and organizes, as directed, conferences and meetings.
  • Administers operating practices such as record keeping systems, forms, and timesheet administration. 
  • Provides information to and receives information from customers, suppliers, project managers, etc.
  • Performs duties with a high degree of accuracy, responsiveness and thoroughness.

Sales

  • Regularly monitors government and private websites to review potential tendering opportunities.
  • Communicates effectively with Owners, General Contractors, Fabricators, and Engineers for updates on future projects.
  • Prepares prequalifications for potential new opportunties, as required.

Estimating

  • Responsible for organizing bid packages and communicating with General Contractors, Subcontractors, and Estimators to ensure all bids are properly submitted.
  • Coordinates tender proposal requirements, including the review of terms and conditions, bonding and insurance requirements, tender breakdown requirements, and preliminary schedules.
  • Prepares detailed RFQ's for applicable trades and Subcontractors to support the preparation of quotations.

Project Coordination

  • Provides and maintains the required project-related documentation for sites with current revision levels. 
  • Makes periodic visits to project job sites for pick up of documents, couriers, and small deliveries.

Key Requirements, Experience and Skills

  • Completion of a College Diploma in Business Administration or a related field.
  • Demonstrated working ability in MS Word, Excel, Visio, PowerPoint, and Outlook.
  • 5 years of administrative/clerical experience.
  • Previous administrative experience in a construction environment dealing with multiple trades is considered an asset.
  • Strong working ability in MS Word, Excel, PowerPoint, and Outlook.
  • Exceptional interpersonal skills.
  • Results-oriented.
  • Strong oral and written communication skills.
  • Clean driving record and valid driver's license.
