Our Nuclear Services office in Darlington, Pickering, ON, is looking for a Administrative Assistant to join our team.

 

Summary of the Role

Reporting to the Site Administrator, the Administrative Assistant will provide direct administrative and clerical support to project management and site personnel within a construction environment. This role ensures efficient coordination of documentation, communications, workforce administration, site logistics, and compliance-related processes while maintaining adherence to strict safety and security protocols.

Key Responsibilities

  • Provide day-to-day administrative support to the Site Admin, construction managers and site staff.
  • Prepare, format, and distribute correspondence, reports, meeting minutes, and construction documentation (e.g., requests for information, overtime authorization requests, risk and issue logs).
  • Coordinate and schedule meetings, manage site logistics, and project-related activities.
  • Maintain accurate and organized electronic and hard-copy filing systems in accordance with E.S. Fox Limited document control standards.
  • Track, update, and distribute controlled documents including drawings, procedures, work packages, and revisions.
  • Liaise with internal departments, (HR, Payroll, Safety) and external stakeholders.
  • Monitor office and site supply inventory
  • Maintain confidentiality and proper handling of sensitive and controlled information.
  • Ensure adherence to E.S. Fox Limited safety policies and nuclear safety standards.
  • Accurate and high-speed data input and verification.
  • Works cooperatively as part of a team.
  • Communicate professionally and tactfully.
  • Performs other similar or adjacent duties or responsibilities as determined by the supervisor.

Key Requirements, Experience and Skills

  • Diploma or certificate in Office Administration, Business Administration, or related field.
  • 2-5 years of administrative experience, preferrable in construction environment
  • Experience working in a regulated environment (e.g., nuclear, energy, or heavy industry) is an asset.
  • Strong organizational and multitasking abilities in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with document control systems and construction workflows is an asset.
